Rave offers an optional Website Lead integration module that allows you to use an API directly to your website or an Embedded Form. Website Leads allows enquiries submitted through your website to flow directly into Rave Build CRM, helping your team capture and manage new leads without having to manually enter their details.
When Website Leads is enabled, both the Source of Lead and New Enquiry Branch and Company reports include three extra columns: UTM Source, UTM Medium, and UTM Campaign.
Permissions Required
To access these instructions, you must have the Branch Setting: Integrations + Website Leads enabled.
The permission for this sits under Manage Users - Branch Settings and is called Website API Tokens. You need the edit version in order to make changes/ set up this feature.
By default:
Franchised businesses: Head Office and Marketing groups have access.
Non-franchised businesses: Branch Owner and Marketing roles have access.

How to Enable Website Leads
Open your Branch Settings.
Navigate to Integrations then Website Leads
Click Manage
The Website Leads area contains three main tabs:
- Leads – view leads received through your website integration.
- General – configure your Website Leads settings.
- Sources – connect your website to Rave using the API or Embed Form.

Open the Leads tab to view website leads that have been received through your connected sources.
The leads list displays key information including:
- Lead Name
- Lead Email
- Source
- Client
- Enquiry
- Salesperson
- Status
- Date
This makes it easy to see where each lead came from and whether it has already been processed into Rave CRM.
Search and Filter Leads
Use the filters at the top of the Leads tab to narrow down the list.
You can filter by:
- Name or email
- Status
- Source
- Salesperson
- Created Date
This is useful when reviewing leads from a particular website form, salesperson or time period.
Lead Status
Website leads can display different statuses, including:
- Pending – the lead has been received but has not yet been fully processed.
- Processed – the lead has been processed into Rave.
Where a lead has been processed, the associated Client and Enquiry can be displayed as links, allowing you to open the corresponding CRM record directly.
Depending on the lead's status, additional actions may also be available from the right-hand side of the lead row to manage or process the lead.
Transfer a Lead to Another Branch
For multi-branch clients, website leads can be transferred to another branch directly from the Leads tab.
Locate the lead you want to transfer.
Click the Transfer Lead icon on the right-hand side of the lead.
In the Transfer Lead window, select the Destination Branch.
Click Transfer.
When a lead is transferred:
The lead is moved to the selected branch.
The lead is unassigned from its current salesperson.
The lead status is updated.
This is useful when a website enquiry has been received by the wrong branch or needs to be handled by another branch within the same organisation.

Open the General tab to configure how new website leads are handled after they arrive in Rave.
Lead Processing
Choose how you want new leads to be processed:
- Manual – new leads are held for review so your team can check and process each lead themselves.
- Automatic – new leads are processed immediately and assigned to the next salesperson in the rotation.
Select the option that best suits your sales process.
Lead Assignment
The Lead Assignment section controls which salespeople receive automatically assigned website leads.
To set up the assignment rotation:
- Select a Salesperson from the dropdown.
- Click Add.
- Repeat this for each salesperson you want included in the rotation.
- Arrange the salespeople in the order you want leads to be assigned.
Each new lead is assigned one at a time to the next salesperson in the rotation.
The salesperson marked Next will receive the next automatically assigned lead.
You can select Set as Next beside another salesperson if you need to change who receives the next lead.
Select Delete to remove a salesperson from the website lead assignment rotation.
Open the Sources tab.
You can choose between:

API
Use the Leads API if your website developer will connect an existing website form directly to Rave.
Rave provides:
- The Website Leads API endpoint
- Developer examples for cURL, JavaScript and PHP
- API documentation
- API token generation
Generate an API Token
To create a token for your website integration:
- Under Generate API Token, enter a name for the token, such as My Website.
- Click Generate.
- Provide the generated token and API details to the person or developer setting up your website integration.
Your generated tokens will appear in the Tokens section, where you can view and manage them.
Important: Treat API tokens like passwords. Only provide them to trusted people who require access to connect your website to Rave.
Embed Form
Use Embed Form if you want to create a Rave lead form and add it directly to your website.
- Select Embed Form under Sources.
- Under Create Form, enter a Name for the form, such as Website Enquiry Form.
- Enter the Allowed Domain where the form will be used.
For example:
example.com or https://example.com (your website domain)
You can also enter multiple allowed domains where required.
- Make sure the form is active.
- Click Create.
Once created, the form will appear in the Forms section.
You can search your forms and filter them by status.
Configure the Embed Form

Click the Pencil icon to edit the embedded form and configure settings.
At the top of the Edit Form window, you can update:
- Form Name
- Form Allowed Domain
- Active / Inactive status
Click Save Changes after making any updates.
Configure Form Fields
The Fields section controls the information your website visitors are asked to provide.
Each field displays:
- Field Name
- Type
- Default Value
- Whether the field is Required
- Visibility
Some Rave fields are required and cannot be removed.
Depending on the field, you can use Edit to change its configuration or Delete to remove an optional field.
You can also select + Field to add additional fields to the form.
Arrange the fields in the order you want them to appear on your website.
Generate the Embed Code
Once your form and fields are configured:
- Review the form settings and make sure the form is Active.
- Click Generate Embed Code.
- Copy the generated embed code.
- Paste the code into the required location on your website.
Your website developer may need to assist with adding the code to your site
Configure Notifications and Auto-Reply Emails (Both Embedded Form and API)
Click the Cog icon next to the Pencil icon to edit the Notification and Auto Reply settings.
Notifications
Use the Notification settings to control who is notified when a new website lead arrives.
- Turn on Notify Branch. - By default the Branch email will get notified when a new lead is created. This email is stored in Branch Settings and is a generic one for many places in Rave.
- Select the required Recipient(s) and press Add.
The selected recipients will be notified when an enquiry is created from this lead form.
Any salesperson assigned through the Lead Assignment settings will also be notified of enquiries created from leads they have access to.
Auto-Reply Email
You can also set up an automatic email to be sent as soon as a new lead is received.
Turn on Enable auto-reply and configure the required auto-reply email settings.
This is useful for immediately acknowledging a customer's enquiry while your team prepares to follow up.
What Happens When a Website Lead Is Submitted?
Once your integration is set up, website enquiries can be sent directly to Rave Build CRM.
This gives your sales team one place to manage new enquiries, follow up with prospective clients and progress leads through your sales process.
