Once an Enquiry has been created for your client, you can add an Activity - be it a follow-up meeting, email, task, or note.  By clicking on the calendar icon you will be directed straight to adding an activity pop up.  You can also open an enquiry by clicking on an Enquiry link from your home screen or the CRM leads & clients page, and then add an Activity follow-up.  




Adding an Activity


From the enquiry screen, you can easily add a follow up meeting by clicking on the calendar icon.



Adding a Meeting Activity


Clicking the calendar icon will open the 'Add Activity' meeting pop-up for you to complete.  While the Title is a mandatory field that requires completion, Rave will automatically populate the remaining fields with today's date, approximate time, and yourself as the activity owner.  You can update these fields as required, and click on the '+ End Time' button to add a meeting end time.  

  • The Activity Owner - will default to you, you can change this to any branch user via the drop-down menu
  • The Participants - drop-down combines the Primary Client with other branch users - add participants by expanding the drop-down and selecting their check box 
  • Activity notes - can be added here
  • Add video conference link - allows you to copy and paste your online meeting link, i.e. Zoom or Teams, etc...
  • Add location - allows you to add a location or an address.  Adding details here will display a handy 'View in Google Maps' icon - clicking on this will open Google Maps in a new tab.  This is particularly useful if you require directions while driving to site.
  • Going? Yes | No | Maybe - will be set to yes by default

    Click the Save button to confirm.



Once your activity is saved, you will be directed to the "My Activities" sub-tab, which displays a calendar view of your scheduled activities for the current month.  Double-clicking on a calendar day is another way to add an activity.  



From this page, you can toggle between a calendar and list view.  



Editing an Activity, Marking it as Complete, and Reverting to Not Complete

By clicking on a My Activities activity description, an Edit Activity pop-up will appear, allowing you to edit any details and re-save.  



Once an activity is complete, you can mark it as complete in your calendar view by clicking on the tick beside the activity.  A completed activity can not be edited.


The paper plane icon beside your clients name will allow you to re-send a log in invite to Rave if need be.




You can undo a completed activity by clicking the undo symbol beside it, which will allow you to edit it again.



My Activities - List View


The My Activities list view allows you to view your upcoming activities, including notes, timing, location, organiser, and participants.  You can edit an activity by clicking on the calendar icon to the end of the entry.  You can also filter your list by activity, event type, participants, status, and salesperson and mark your activity as complete from this view.

Click on the calendar icon to have the pop up show to edit details 





Marking Your Activity Complete 


In the list view you can mark your activity complete also - when marking your activity complete it will dissappear from the list view, as this view is just for your upcoming activities.




Email, Call, and SMS Activity Integration - Rave App only

Your Rave app allows you to call, text and email - emailing via the Rave app is compatible with Microsoft Outlook only.



Adding a Task Activity - diarising a follow-up call, email or other action

Similar to a meeting activity, clicking the Task icon will open the 'Add Activity' task pop-up for you to complete.  Again, while the Title is a mandatory field that requires completion, Rave will auto-populate the remaining fields with today's date, approximate time and yourself as the activity owner.  You can update these fields as required, and click on the '+ End Time' button to add a meeting end time.  


The Title will describe the activity to be done, i.e. Call Chris to book a meeting, Email our colour selection chart to Lara, Drop off a thank-you gift basket to Morgan and Tama, etc.


Once completed, click the Save button to confirm.



Adding an Enquiry Note Activity

Similar to client profile notes, Enquiry notes are viewable only by branch staff.  Clicking the Enquiry Notes icon will open the Enquiry Notes sub-tab, allowing you to add your internal note and attach any required 
documents via the 'Attach File to Note' button.  As soon as any text has been added to the 'Add internal note' field, the 'Save' button will become clickable, allowing you to save your note.




Again, similar to client profile notes, once a note has been added, a few icon actions become available:

  • The Paperclip icon - allows you to attach a file to the note
  • The Thumb Tack/Pin icon - allows you to pin the note to the top of your client notes section - Pinning the note will ensure that the note will remain at the top, while all other notes will descend in order from newest to oldest down the page. 
  • The Pencil icon - allows you to edit your note
  • And finally, the red Trashcan icon - allows you to delete your note




Client Profile Upcoming Events

Upcoming activities will be displayed on your client profile, under the Upcoming events header.  Clicking on an activity description link will take you directly to its enquiry page, where you can create additional activities.





Viewing your Last Contact activities 


Your latest activities, for each enquiry, will populate your Home Pages Dashboard, and your CRM Leads Client's enquiries lists as a last contact made reference.
