Accessing the Reporting Module
To begin:
Click on ‘Reporting’ at the top-right of your Rave screen.
Depending on your permission level, you will see tabs for:
Company
Branch
Salesperson
For this guide, we are focusing on the Branch tab.
Navigating to PROJECT Reports
In the Reporting Module, click on the PROJECT tab (left-hand side).
You will now see a list of available PROJECT reports.
The Key Tasks report is the one you need for this guide
This report helps you track important milestones in your project schedules, especially those related to progress payment requests. Key moments can include signing the build contract, finalising drawings, obtaining building consent, completing the floor down stage, framing, roof installation, and completing council inspections.
Below is an example of a comprehensive Key Tasks build overview, which allows you to see:
Upcoming Key Tasks: Indicated by a white background with black due date text.
Overdue Key Tasks: Shown with a white background and red overdue date text.
Completed Key Tasks: Marked with a teal background.
Completed Key Tasks with Payment Requests: Highlighted with a golden background.
This report provides a clear, high-level overview of your project’s progress. If you are new to the report, you may initially see a blank overview. Your active projects will appear once at least one task in their schedule is marked as a key task. We’ve created a standard Key Task list to help you get started, and we’ll guide you on how to customise this list shortly.
Next, let’s discuss how to assign your Key Tasks for this report.
Tagging a Schedule Task as a Key Task
You can tag a schedule task as a Key Task by following these steps:
Go to the Task List view of your schedule.
Choose a task to assign (for example, a “Contract Being Signed” task).
Click the pencil edit icon to the right of the task to open the Task Details pop-up.
In the pop-up, select the relevant Key Task tag from the Key Task dropdown (e.g., “Contract Signed Off”).
Click Next and/or Save to confirm.
After saving, you’ll return to the Task List view. Within a few moments, you should see a black Key Task tag labeled with your selection (e.g., “Contract Signed Off”) appear next to the task.
When you return to the Key Tasks build overview report (assuming your project and schedule are active), your project will be added to the report, and the corresponding Key Task block will be populated with task dates.
You can quickly navigate back to your schedule by clicking the job number, then continue tagging your remaining Key Tasks.
Important Notes
You can only assign one task per Key Task tag. When assigning a new Key Task, already assigned tags will be grayed out and unavailable for selection.
If you make a mistake, you can remove a Key Task tag from one task and reassign it to another.
RAVE Tip
Once all your Key Tasks are tagged in the schedule, save a new schedule template. This will save your Key Tasks tags, so when you load this schedule template next time, the Key Tasks will load automatically, and your project will populate in the Key Tasks build overview report.
Running a Key Tasks Report Using the Build Overview Filters
At the top of the Key Tasks build overview page, you will find several filter options. These filters are available across most Build Overview reports and allow you to create customized reports. The available filters include:
Build Status: Filter projects by their state — Active and/or Maintenance.
Build Type: Display project types such as Display Home, Charge Up, Demolition, Aged Care, etc. (the type of construction).
Project Stage: Filter projects by their stage of construction, for example, Preconstruction or In Construction.
Date Range: View Key Tasks due within a specific date range.
Project Managers: Filter projects managed by a specific project manager, a selection of project managers, or view all projects.
Site Managers: Filter jobs managed by specific Site Manager(s).
Order By: Change the order of the report list by Schedule Start Date, Task Start Date, or Task End Date.
Search Field: Filter projects by Job Number, Contract Name, or Client’s Name.
Hide Completed Projects: Check this box to exclude completed projects from the report.
Once you have set your desired filters, you can export the report as a CSV file by clicking the Export Key Tasks button located at the top right of the page.

How to Customise Your Key Task List
If you have the necessary permissions, you can easily update your business’s Key Task tag list in RAVE. To access and customise your Key Task list:
Click on your profile dropdown.
Select Branch Settings.
Click on the Project Settings sub-tab.
Select KEY TASKS.
This will display your Branch Key Tasks list. The order of Key Tasks in this list determines the order they appear in your Key Tasks build overview report.
Note that while the Key Task Name and Description fields are usually the same, it is the Name field that controls what is displayed on the report.
