Your project 'Overview' displays your project's essential details.  Many of these details are shared with your site staff, contractors, and even clients who have been granted access to their project. The goal is to provide as much information as possible to your subcontractors, which should help reduce the number of unnecessary phone calls you receive each week.

TIP:  Project managers who are really using RAVE's systems to the max, report that they are saving up to two hours per project, per week in reduced phone calls, emails and rework.

The Project Overview Dashboard

The top section of this page gives you excellent information about the project itself.  The Project name is at the top left, and the toggle to pin your project to the first page of your Project list is on the top right.  The Schedule Pie Chart, if a schedule is loaded, shows schedule progress, while a clickable link takes you directly to your schedule. You can change the Project Status, Stage, Type, Project Manager and Quantity Surveyor via the dropdown menus. The Enquiry reference link in this section takes you back to your Enquiry details.

The lower section of this page provides sub-tab access to your Project Details, Project Notes, Client Project Notes and a Google Map to your site location.

The Project Details sub-tab

The Project Details page displays basic information about the project, most of the fields can be updated from here, except for the Project Client Name.  The following is an explanation of some of the key fields.

Project Details

  • The Project Reference - is your job number, you can type in your own reference here i.e. a site address, or if this field is left empty, Rave will auto-generate a project reference for you
  • The Contract Name - is where you can personalise your client reference i.e. This feature is used for Trades and your staff to easily identify this project using a custom name.  This is populated through Rave's schedules, timesheets and financials
  • The Internal Reference - is where you can add a non-public reference i.e. an insurance company's claim number, in the case of insurance work
  • The Project Status - is a mandatory field, and is customisable via your Project Settings - this requires permission
  • Site notes - are important notes to be shared with internal staff and contractors who have access to the project i.e. a lockbox code,  or the property has a dog, etc
  • The Quantity Surveyor and Project Manager - the key points of contact for this project at the pre-construction and construction stages
  • Contract Details - along with the signed contract date, the value and handover date can be edited.  You also have the opportunity to mark it as a Charge Up build, which will default the contract value to $0.00 and not make it a mandatory field
  • Location - street address, lot number DPS, site area and floor size
  • Property Specifications - Project Type and subtype, Garage type, and for companies with plan ranges there are drop down boxes where the plan collection and house plan can be changed.
  • Contents and Compliance - when you have more information around Building Consent number and dates, Resource Consents (if req), Code of Compliance etc, these fields can be populated
  • Maintenance and Guarantees - same as above, when more information comes to hand, these fields can be updated
  • Covenants - if Covenant approval is required by developers or neighbours, etc.  If this option is checked, a calendar will pop up with the option to add a date for when approval was requested and when it was received.

Project Notes

You can add your project notes here; most clients will keep these notes for internal reference only, and contractors do NOT have access to these notes by default.  Like Client notes and Client Project notes, you can attach photos and documents to a note, pin a note, edit a note, and delete it.

Warning/Note:  Generally (99% of the time), we do not recommend allowing contractors to view your project notes - their contractor notes and assigned task notes are sufficient for them.  However, you can allow contractors to view your project notes if you really wish to do so.  But, this is a cross-project setting, so you would be enabling this for contractors across all projects.  In other words, all contractors with access to a project would then be able to view all the notes and attachments added to your project details.

Client Project Notes

You can add project notes here for your Clients to view.  These notes are viewable by your Client and internal staff within your company.  Like Contractor notes, you can attach photos and documents to these notes, and pin, edit and/or delete these too.

Project Maps

Rave's project maps are powered by Google Maps - super handy to use from your Rave app if you are driving to the site and need directions.
