The project's 'People' sub-tab allows you to track and manage external user access to your project, including the Primary Client, Secondary Clients, Tenants (Contacts), Contractors, internal Staff Members, Site Managers, Site Staff and Timesheet users.


Note:  No external users (contractors, contacts, or clients) or site staff are granted automatic access to your project. You must manually select and add them through the 'People' sub-tab of your project or load them as part of a schedule template. 


To access your project's people screen, open the project you want to review user access for and click on the 'People' sub-tab.  By scrolling down this page, you'll see all internal and external user access associated with the project.



Primary and Secondary client Note:  Primary and secondary clients will need a client login to be created for access, and secondary clients require the 'Get Notified' tick box ticked for project notifications to be sent to them - these notifications include:

  • Generating and sending the Preliminary Budget PDF Export to clients
  • Sending/Resending Progress Payment Variation approval requests
  • Sending/Resending Estimate Version Variation approval requests 
  • Client Project Notes


If you want your secondary client to receive progress payment notifications, you also need to ensure the Invoices Out 'Hide from secondary clients' eyeball is not crossed out - you can turn this mode on and off by clicking on the eyeball icon via the Invoices Out screen.






Adding People 


You can add people to your project, which means they will be able to access the project when it is in an Active state, view the schedule when it is made live (with permission), and receive project and schedule notifications if enabled.  This also means that you will be able to allocate these people to tasks in your schedule, provide access to checklists and communicate with them via RAVE's Messages system.



Adding a Contractor

  • Adding a Contractor can be done by selecting 'Individual contractor' from the dropdown box or clicking the 'Select All' checkbox to bulk select the contractors, and then individually removing the ones you don't want.  Once your selections have been made, click on the '+ Contractor' button to add the selected contractors to your project.




Adding Staff Members 

  • Adding Staff Members to the people tab is done by clicking on the drop-down menu.  As the PM has been previously selected as a mandatory field when creating a project, you can change the PM here too.  You can add the QS if not previously done, the Primary Site Manager, Branch Staff, and last but not least, Site Staff and Timesheet only users.





Removing People
 

If you wish to remove access for anyone from your project, simply click the red 'X' button to the right of each user's name.  
A confirmation box will appear, asking if you are sure you want to delete them.  Confirm this to complete the deletion.  


If you have accidentally removed someone from your project, you can easily re-add them via the adding people process above.



Note: Removing someone from a project does not remove their profile from RAVE - it just removes their access from this particular job




Note: Clicking on an eyeball icon in this section displays the contractor's full profile via the Contractor Profile - Details section at the bottom of your Contractors list.
