CRM - Email and Export Templates

Rave's CRM Templates sub-tab is where you can create and manage your CRM Client Email templates, Custom Export Templates and Message/Mail templates. 



Template Permissions

To manage permissions for templates you will need to have access to manage users. You will need to choose from the below options.


Branch Mail Templates - this enables the user to create and manage templates all branch users can use

Others Mail Templates - This enables the user to edit/manage templates their team create for themselves

CRM email Template - This enables the user to create custom client welcome email templates, password reset emails. This is for inviting clients to Rave and when they forget their password only.

CRM Export Template - This enables the user to create/manage custom export templates in the branch. 



Email Templates

The CRM Email Templates screen displays all your saved client email templates.  Your list of 'Send welcome email' templates to choose from when inviting a client to access their enquiry and/or project, and your list of 'Reset password' templates to choose from when resetting a client's login password - both options available from your client's profile screen.

You can create a new welcome email or password reset email by clicking the '+ Email Template' button located at the top right of your screen.  

You can search by the name of a template, the type of template or a keyword.

You can filter the list by type i.e client welcome email, or client reset password email.  

While the action icons to the right allow you to do the following actions with your templates:

  • The eyeball icon - allows you to preview the template i.e. how the email looks when the client receives it 
  • The pencil edit icon - allows you to edit your template i.e. change the template name, type, email subject line, and body of the email with formatting options
  • And finally, the Red Trashcan icon - allows you to delete your email template

How to Create a Email Template

To create a new mail template, click the + Email Template button in the top-right corner of your screen.

Enter a name for your template (e.g., Welcome to Rave, How to update your password).

Choose the Type of template client welcome email, or client reset password email

Select a category to file the template under, or leave this blank if not needed.

Choose the Subject Line for the template

Type the body content of your template. You can use formatting tools such as highlighting, bullet points, and indentation, insert Rave video links from our help portal etc.

When you’re finished, click Create, and your new template will be saved and appear in the main menu.


Export Templates

The Export Templates screen is where you can create and save custom client export lists and templates, and it also displays all of your existing saved CRM custom export templates.  

Note: As these are branch templates edits you make affect everyone with permission to export. If you need a template just for yourself we suggest adding your name into the title so other users know not to edit it.

From this list page

  • The pencil edit icon - allows you to edit your template i.e. change the template name, CSV column selections, and their order 
  • The red Trashcan icon - allows you to delete your custom export template


How to Create a New Client/Enquiry Custom Export Template

To create a new custom export template, click the '+ Export Template' button to the top right of your screen, type in a name for this template, e.g. Source of Lead types. Then select Create.  

This will open the Custom Export Template Screen.
You can now start selecting which fields you would like to include in your custom export. 

All fields on the client and enquiry are selectable, and you can order the export columns as needed.  
Note: You can use the 'Select All' icon to add all the choices to your export and then unselect the ones you don't need before selecting 'Add'.

Once you have added all your selections, you can still edit the template name, delete items using the delete icon, choose a different item by selecting 'Edit', and replace the existing choice or use the = icons to the left to click and drag / reorder your choices.




Using Custom Export Templates

You need to navigate back to the CRM screen to use your custom export templates.  Then, clicking the Export button, you can select the System Standard option (which is just what's on this page) or one of the custom templates you have just created/edited.

Mail/Message Templates

The Mail templates screen displays all your mail/message templates.  


You can create a new mail template by clicking '+ Mail Template' button located at the top right of your screen.  

You can search by the name of a template in the search box or a key word from the name.

While the action icons to the right allow you to do the following actions with your templates:

  • The eyeball icon - allows you to preview the template i.e. how the mail looks when the client receives it 
  • The pencil edit icon - allows you to edit your template i.e. change the template name, type, mail subject line, and body of the mail with formatting options
  • And finally, the Red Trashcan icon - allows you to delete your mail template


How to Create a Mail/Message Template

To create a new mail template, click the + Mail Template button in the top-right corner of your screen.

If you have permission to manage both branch and personal templates, you can choose whether the template is shared with all users or saved as your own.
Users with permission to create personal templates only will see the My Template option.

Enter a name for your template (e.g., Sales Update or Catch-Up mail).

Set the subject line.

Select a category to file the template under, or leave this blank if not needed.

Type the body content of your template. You can add attachments and use formatting tools such as highlighting, bullet points, and indentation.

When you’re finished, click Create, and your new template will be saved and appear in the main menu.
