We all know things can sometimes go wrong on-site and a sub-trade or contractor is required to pay for remediating work. RAVE's Financial Management System handles this via our 'On Charge Invoices' tool - which is also handy for insurance work where the primary client pays for the majority of the work, but you need to charge an excess to someone else.

How to Create an On-Charge Invoice

To create an On Charge Invoice in RAVE:

  1. Firstly go to the project's 'Invoices Out' sub-tab.

  2. And click on the 'Add an Oncharge Invoice' button to the top right of the invoices out screen.

This will open an 'Add an On Charge Invoice' screen.

  3. Here, you'll have the option to choose your business, any supplier or contractor to charge this invoice to.

Remember that contractors have to be added to the project via the 'People' sub-tab, while suppliers will automatically show up here.

  4. If you want your client to be able to see this invoice, turn on the 'Visible to Client' switch to make the invoice viewable on their 'Invoices Out' sub-tab.

This will also display an 'eye' icon, reaffirming that the client is able to see this invoice.

  5. Complete the rest of the invoice, including the line item, and click the 'approve' button to confirm.

This will create the invoice - also notifying your accounts person, and pushing through to Xero if connected.

NOTE:  You cannot create a credit note from the primary client's on-charge invoice, in the same way that you cannot invoice the primary client an on-charge invoice.

NOTE:  An ‘On Charge Credit Note’ function will be available for RAVE FMS users soon.
