In preparation for the release of our new permission settings, we have updated how your Profile and Branch Settings look.


Clicking on your User dropdown at the top right, you will now notice Profile Settings and Branch Settings with their own dropdown menu.



All Users will have access to their Profile Settings however Branch Settings is permission based, it will depend on your role and permissions to what options you have here. Some users with minimal settings may not see branch settings at all.


Branch Settings:


We will now go through the Branch Settings which is now all permission based which is also split into either 'view only' or 'add/edit/delete'. So, if you cannot see what you are looking for or don't have the ability to add/edit or delete, this means you have not been given access and you will need to follow up with your Branch Owner. 


By clicking on the expand arrow to the right of Branch Settings, you will be able to see the options you have access to. 



Once you have clicked on the settings you are after, the Branch Settings navigation will open at the top of your page to allow for easy access to navigate around the settings.


NOTE: Remember you will ONLY see the tabs you have been given access to here.



Branch Details:


Starting at Branch Details, this is where you will find all of your Branch/Company information including your GST Number, Address, Contact Information, Website and also your Financial and Accounts Emails. Below here is where you (with permission) can edit your Trade Names that are available for your Contractors/Contacts to select.



Client Settings:


In your Client Settings, you have the ability to upload/update your Company Logo along with your unique URL to your personalised portal login page.


Client Leads - having this turned on will mean it is mandatory for you to add the client lead when entering a client, it also will display on the clients homepage. Turning it off removes it from the new client form and also will not display on your client homepage, even if you have had it turned on to enter previous clients.




Opportunity- this allows you to view or edit the opportunity names used in your branch. You are not able to add new opportunities as it will throw the percentage out however you can edit the exists names OR add new sub-opportunities.



Lastly, we have the expected closed date, this is the default timeframe you expected the contract to be signed from receiving the initial lead. This can be either 1, 3, 6, 9 or 12 months.




Contractor Settings:


Under Contractor Settings you have the option to turn on and off Contractors ability to see notes added under the Site/Build Notes. While the box is ticked, your Contractors can see the notes, when the box is unticked they will not be able to view them.



Financial Settings:


Financial Settings is where you can upload your Terms and Conditions for both estimates/quotes and variations that are attached to Client Proposals. There is the ability to add multiple in here and then set your default as well as delete any you no longer need. If you have more than one set you can choose which one you want to use on the estimates page or just use the default for each type .


Below your Terms and Conditions, we have free text boxes for an Estimate, Variation and Quote Footer Text.

In here you can add any disclaimers or notes for your clients to read at the end of all the estimate documents.


Timesheet:


The Timesheet settings allows you to edit your max editing days on timesheets, edit/change your timesheet tags,  and also choose if you wish to include breaks when converting a timesheet to a bill. This will allow you to charge clients for breaks. If you have Advanced Timesheeting you can also choose to use the new Timesheet approval process by enabling the tick button



Xero Settings:


Under your Xero Settings you are able to Connect your Rave to Xero, Enable Project Tracking, Enable Payment Syncing and set up your default chart of account codes. For further information on these, head to our Xero Set Up Folder.



Product Inventory:


Product Inventory allows you to upload your suppliers price book to make your financial workflows even faster. For a step by step guide, check out our Supplier Product Inventory/Price List Upload Article.



Project Settings

Here you can mange both your Project Stages (Formally Project Status) and your Key Tasks. 

Both of these tabs are permission based so you may see one, both or none of these options depending on your permissions.

You have the ability to add, archive or rename project stages (Click here to read our Project Stages FAQ) 

You also have the ability to add, Delete or Edit Key Tasks

You also have the ability to Add, Edit or Delete Key Tasks


Chart of Accounts:


Here you can pull your chart of accounts from Xero (or manually import them if you are not a xero user) and also 'hide' any accounts that don't need to be seen when using Rave FMS. Estimate Categories:


Estimate Categories is where you can add, rename or delete both estimate categories and subcategories. Estimate Categories help you organise track your budget whereas subcategories allow you to view your costs vs spend in more detail. If you dont use sub categories you  can choose to slide the switch off which will remove this field in Rave FMS


Manage Users:


Manage Users allows you to see all active (and suspended with the switch turned on) within your Branch.



Clicking on a users name will take you through to all of their details which can be updated if you have the permission.
