We have recently updated our Chart of Accounts page for both Xero and Non-Xero Financial Management Users.
To Access the Chart of Accounts Settings Page
- Click on your Profile Dropdown (your initials to the top right) to access the menu options
- Select Branch Settings - if you don't see this drop-down you will need to ask your Business Owner for access
- Select Chart of Accounts - which will open the Chart of Accounts page
Rave clients who are connected to Xero
- Xero clients will see a 'Pull from Xero' button to the top right of the page. Clicking on this button will pull over all non-archived chart of account codes from your Xero account into Rave.
- Once loaded you can use the hand 'Search by' bar to search for a chart by Name or Code.
- You can also filter by the code Type and Visibility.
- When an accounts visibility is marked as hidden, it means that it cannot be used in Rave financial i.e. it still exists in Xero, and in Rave's settings page but it will not appear on the accounts dropdown list, and is not usable by anyone. We typically hide things that are not relevant to Rave like 'loan codes', 'director drawings', 'Bank codes' etc.
- When an accounts visibility is marked as visible, it means that it can be used in Rave Financial by anyone with permission to create/edit a document that requires a Chart of Account code i.e. it will appear on the accounts dropdown list.
- The edit pencil and delete button are disabled when using Xero as all Chart of Account edits or deletions are done in Xero.
Rave clients who are NOT connected to Xero i.e. they use a different accounting package
Clients who are not connected to Xero but would like to utilise the Chart of Accounts feature in Rave have two options to add Chart of Account codes
Firstly - Use the 'Add Account' button to manually add a new chart of account code
- Selecting the 'Add Account' button will pop up an 'Add new account' box allowing you to enter the code, name, and account type - with the option to make it visible to use or not.
- Once loaded you can use the hand 'Search by' bar to search for a chart by Name or Code. You can also filter by the code Type and Visibility.
- When an accounts visibility is marked as hidden, it means that it cannot be used in Rave financial i.e. it still exists in Xero, and in Rave's settings page but it will not appear on the accounts dropdown list, and is not usable by anyone. Secondly - Upload your Chart of Accounts using Rave's CSV file template
- Selecting the 'CSV Import' button will pop up an 'Upload CSV' box allowing you to download the example file - or if you already have your sample file ready (in Rave's CSV format) you can upload it here
- This CSV file requires the Code, Name, Type, and if the code should be Visible or Hidden
- If you upload the list incorrectly, you can bulk delete any items you don't want by selecting the top check box to the left of the 'Code' column header and deleting all selected, or you can edit or delete each one using the pencil or trash can icons to the right of each line. - Once loaded you can use the hand 'Search by' bar to search for a chart by Name or Code. You can also filter by the code Type and Visibility.

Bulk marking items as Hidden or Visible
You can bulk mark items as hidden or visible by selecting the top check box to the left of the 'Code' column header to select (or deselect) all - once selected, you can mark as visible or hidden all lines selected
