To manage user access for a project, open the specific project and click on the 'People' sub-tab.
This screen allows you to view and manage all internal and external users who have access.
Scroll down to see the full list of users associated with the project.
Not all users are granted automatic access.
- Clients (Both Primary and Secondary) must be invited through the CRM page, and their permissions need to be enabled before they can access the project. They will however show on the people tab by default.
- Tenants are created via the Contractors/Contacts tab and are treated as a type of contact. They cannot be given project access. They function as address book-style contact records only
- Contractors must be manually added via the People tab.
- The Salesperson cannot be changed from the People tab; this must be managed through the CRM tab. They will however show on the people tab by default.
- The Quantity Surveyor must be selected from staff members assigned to the Quantity Surveyor group, or you can now assign a Contractor from your project list as well.
- The Project Manager can be any internal staff member from any group, except those in Site Staff and Timesheet groups
- Branch Staff can be any internal user, except those in the Site Staff and Timesheet groups
- Site Staff and Timesheet users refer exclusively to internal staff assigned to those specific groups.
NOTE: Internal User access depends on their permission settings. Some may be able to view all projects, while others only see those they're assigned to. Even if a staff member can view a project, they must still be added through the People tab to receive notifications and enable integrations.
For secondary clients to receive project notifications for:
- Generating and sending the Preliminary Budget PDF Export to clients
- Sending/Resending Progress Payment Variation approval requests
- Sending/Resending Estimate Version Variation approval requests
- Client Project Notes
you must enable the ‘Get Notified’ slider on the People tab.
To allow them to receive progress payment notifications, go to the Invoices Out screen and check the eyeball icon next to "Hide from secondary clients." If the eyeball is crossed out, they won’t see the invoice.
Click the icon to toggle this setting.
At the top right of each group section, you'll find a Print option that allows you to print the user list for the specific project you're viewing.
We also offer a + Add & Notify option (or just a + Add button). If you choose Notify, the user will receive an external email informing them that they now have access to the project.
Please note: This feature applies to all users listed under the People tab, except for Sales Person and Client roles, as those are managed through the CRM tab.
You can add people to your project, giving them access when the project is in an Active state.
With the appropriate permissions, they’ll be able to:
- View the schedule once it's made live
- Receive project and schedule notifications (if enabled)
- Be allocated to tasks within the schedule
- Access checklists assigned to them
- Communicate via RAVE’s Messages system
- Interact with Files and Albums (if enabled)
- Be invited to Project Activities
Adding a Contractor
To add a Contractor to your project, you can either:
- Select the individual contractor’ from the dropdown, or
- Use the ‘Select All’ checkbox to bulk-select all contractors, then manually deselect any you don’t want to include.
Once you’ve made your selections, click the ‘+ Contractor’ button to add the selected contractors to your project or the '+add & notify' which will send them an email notification.
If you have a large list of contractors, you can use the search box to quickly find a specific contractor already on your project’s People list.
Note: Sliding the View all Visible Tasks toggle on will allow the contractor to see all visible tasks in the schedule. When slid off, they can only view their own tasks
You can now bulk remove contractors by selecting the top checkbox next to the Name column and then clicking Remove on the bulk action bar.
Adding a Quantity Surveyor, Project Manager, Site Manager, Branch Staff, or Site Staff/Timesheet user is simple:
- Select the relevant box and either choose individuals one by one or add multiple users in bulk if the option is available.
- Only Branch Staff, Contractors, and Site Staff/Timesheet roles allow selecting more than one person.
- Since the Project Manager is mandatory, this field cannot be left blank.
- The Site Manager and Quantity Surveyor roles are optional.
When you change these roles on the People tab, the selected person will be updated across the project overview and anywhere the Project Manager or Quantity Surveyor is displayed in RAVE.
Removing People
To remove someone’s access from your project, simply click the red ‘Trash Can’ button next to their name.
A confirmation box will appear—confirm to complete the removal.
If you accidentally remove someone, you can easily re-add them by following the adding people steps outlined above.
Note: Removing someone from a project does not delete their profile from RAVE; it only revokes their access to that specific project.
