RAVE's Financial Management System's (RAVE's FMS) Product Inventory database can be found via your profile dropdown at the top right of your screen.
Clicking on this dropdown option will take you to the Product Inventory screen. This page will be blank if no product inventory data has been loaded previously.
Adding a Product one code at a time
You can load a product inventory item one at a time via the 'Add a New Product' button - to load a single item
- From the Product Inventory screen - click on the 'Add a New Product' button - to the top right of the Product Inventory screen.
This will open the 'Add Product Inventory Item' screen - Fill in the three required fields (Sku/Product Code, Unit of Measurement, and Cost Price) and any other fields you can.
Code - The SKU/Product Code is a required field - this can be any combination of numbers and lettersDescription - The name of the product or service
UOM - The Unit of Measurement is another required field - there is a full range of selections here
Price - The Price is another required field - this is your COST price - it is the raw cost price to you excluding GST
Markup* - Can either be a Markup % or a $ Value Markup - we recommend using a Markup %
Chart of Account Code - This is your expense code/chart of account code (if any) for this item
Tax Rate - Is this a GST or a NO GST product or serviceNOTE: We generally recommend using a Markup % (vs a $ Value Markup), as this ensures that RAVE correctly calculates the price i.e. 'Product Qty x Cost Price x Markup'
If there is more than one item (a qty greater than one) with a $ Value Markup, RAVE will SPLIT that $ Value Markup across the qty of items - rather than MULTIPLYING that dollar value across the qty of items.
- Click the 'Save' button to add the item, or 'Cancel' to cancel
Adding Multiple Products via a CSV Upload
You can add multiple products i.e. a suppliers product list, via a Microsoft Excel CSV upload.
To upload a CSV product inventory list
- From the Product Inventory screen - click on the dropdown to the right of the 'Add a New Product' button
- Click on the 'Upload CSV/Excel File' option
This will open the 'Upload File' pop-up. To see the required format for a product inventory upload, click on the example.csv link - this will download our example file, opening this file will display the required layout. - Copy and paste your product list data into these columns
- keeping the existing example.csv file column headers.
- ensuring to include the three required columns (Sku/Product Code, Unit of Measurement, and Cost Price) plus any other columns you can. - Once you're done adding data to the sample CSV - save this as a new CSV file
- Go back to RAVE's Product Inventory screen
- Click on the 'Upload CSV/Excel File' option
- From the 'Upload File' pop-up, click on the 'Choose File' button
- Find your newly saved CSV Inventory file, select it, click open, and then click the import file button to load
RAVE will then go ahead and load your inventory list.
NOTE: Upload Fails
If you have any duplicates of items that do not have the same cost price - then RAVE will identify that as an error, and will not upload the file. You will have to go back into your spreadsheet to edit these and/or remove any duplicates.

Editing a Single Inventory Item
You can edit, or delete inventory items manually at any time - by clicking on the dropdown to the right of that line's 'Show' button - and selecting either the 'Edit' or the 'Delete' option.
Managing Product Inventory Price Increases
If you have a few cost price changes (increases and/or decreases) you can update these easily by reloading your CSV product inventory file with the price changes. To do this you would:
- Download your current inventory list
From the Product Inventory screen - click on the dropdown to the right of the 'Add a New Product' button, and click on the 'Download CSV/Excel File' option - this will download your product inventory list as a CSV file
Or you can open the CSV you had before, change your cost price then save your changes. Then reload the CSV again. - Open this file, and change the price of any products that have had a cost price change
- Save your changes
- Go through the process of loading your new CSV file
Through this process, RAVE will check the product code and your cost price - and update the price if there has been a change - either up or down.
