Recently, clients have asked if we could enhance our File Management system, allowing them to create Folders and manage files/documents across all Projects. And this week, RAVE has delivered!
A new Site/Build sub-tab named “Files” has been added to RAVE for those with Branch Owner logins. This allows Branch Owners to add custom folders and sub-folders and manage files within them to be shared across all Projects!
Some examples of this update coming in handy… Do you have a tender submission guide (document) you would like loaded into all project’s ‘Tender’ folders – now and moving forward? Or do you want to create a new master reference folder – plus a Health and Safety subfolder for all projects, including a few Health and Safety policy documents? Well, now you can! Below is a quick run-through of the screens and how this works.
Those with Branch Owner permissions can access the new Files tab via Site/Build > Files.
The branch Files sub-tab will display your Project’s default folders – from here you can
- Load files into any of your branch-wide folders and sub-folders
- Add a new editable (teal-coloured) folder
- Add a sub-folder to an existing editable (teal-coloured) folder
And here are some detailed steps for these actions.
Load files into any of your branch-wide folders
- From the Files sub-tab, select the folder you want to load into.
- Drag and drop, or click to open your document browser to load your file(s)
Add a new editable (teal coloured) folder
- From the Files sub-tab, click on Add a folder
- Give the new folder a name
- Decide if the folder is to be made visible (shown) in your projects (or kept hidden for now)
- And if made visible, set viewing permissions for all user types – either no visibility or view-only file permissions
Add a sub-folder to an existing editable (teal coloured) folder
- From the Files sub-tab, click on Add a folder
- Give the new folder a name
- Select Add as a Subfolder
- Select an editable folder to add the subfolder too
Decide if the folder is to be made visible or kept hidden for now- And if made visible, set viewing permissions for all user types – either no visibility or view-only file permissions
- And if made visible, set viewing permissions for all user types – either no visibility or view-only file permissions
The new folders and/or documents will be immediately updated. If you have selected the “Show in Projects” check box, they will be viewable in all of your projects.
So, there’s the new feature plus a rundown on how to use it in practice, once again a simple addition that can make a world of difference when you (and your building partners) need ease of access to important files across projects!
